In Mendato, you can find time tracking under Personnel > Time Tracking. There are two areas there: a list of time records for all employees and a list without check-in (missing time records).
The current hour account balance (overtime/under-hours) can be found in the employee list under Master Data > Employees in the Hour Account column.
1. Time Tracking List: All
The All time tracking list shows every time record from all employees, whether already completed or still in progress. It provides a comprehensive overview and is especially suited for reviewing and post-processing recorded times.
Columns and Symbols in the All List:
Date: The date of the respective operation.
The warning triangle indicates a deviating operation date.
Employee: Shows the name and profile picture of the employee.
Object: The object where the operation took place.
Operation title (car symbol): When you hover over the car symbol, the operation title appears.
If a speech bubble is shown next to it, comments or images have been documented for the operation.
Location symbol: Clicking the location symbol opens a map showing the locations for journey, operation start and operation end.
The warning triangle indicates that the operation was started outside the object's radius.
Times:
Journey, planned time, actual time: Shows the planned and actually recorded times for the operation.
Difference: Shows the deviation between planned time and actual time.
Break: If breaks were planned or recorded.
Status:
Unconfirmed: Time tracking not yet completed.
Confirmed: Time tracking completed and ready for payroll preparation. → Confirm time tracking
Other statuses: Journey, Active, Paused (show the current progress).
Filter Options:
Date and Status: Allow targeted searches for specific days and the current status of the time record.
Created on: Shows when the time record was created.
Actions and Post-Processing:
Edit time records: By clicking the context menu (3 dots on the edge), you can make subsequent adjustments to a time record. → Edit time tracking
Subsequent confirmation: To release the times for payroll preparation, the time record must be set to Confirmed status.
The time tracking list in Mendato gives you full control over all recorded working hours and simplifies payroll accounting preparation. This is especially valuable for detecting deviations early and ensuring error-free time tracking.
2. Time Tracking List: Without Check-In
The Without Check-In list shows all operations for which the scheduled employee has not recorded any times. This list is important to ensure that no working hours are overlooked and that all operations needing back-entry are quickly visible.
Columns in the Without Check-In List:
Execution (date and time): Shows the planned date and time of the operation.
Employee: The assigned employee who missed the check-in.
Object: The location of the operation.
Operation type: The type of service to be performed (e.g. maintenance cleaning, special cleaning).
Purpose of the Without Check-In List:
Ensure complete time tracking: Used to identify open operations without time records and to add missing working hours.
Preparation for payroll: All operations should have a time record to ensure complete and correct payroll accounting.
Adding Times Afterwards:
To add missing time records:
Select employee: Go to Master Data > Employees and select the relevant employee.
Create time record: In the Time Tracking tab, you can add times for the missing operations.
Monthly or individual entries: You can enter individual operations as well as complete time periods for the employee.
With these functions, Mendato ensures that all working hours are correctly documented, making preparatory payroll accounting easier. The Without Check-In list is a helpful tool for identifying gaps and ensuring that all relevant times are entered.
Best Practices for Working With the Time Tracking Lists
Regular review: Time records should be reviewed regularly to ensure that all times have been recorded and confirmed.
Efficient back-entry: Use the Without Check-In list to identify missed time records directly and add them promptly.
Keep an eye on status: With the Confirmed status, a time record is completed for payroll preparation and made exportable. All Unconfirmed times must be reviewed and confirmed before export.
Check the hour account: Regularly check the hour account balances in the employee list to respond early to growing overtime or under-hours.
Benefits of the Time Tracking Lists in Mendato
