In Mendato's personnel planning, the system offers various functions and settings to manage employees optimally and ensure their availability for operations. Below is an overview of the central functions and settings that help you run structured and efficient personnel planning.
1. Employee Profile and Master Data
Master Data: Under Master Data > Employees you'll find an overview of all employees. Here you can manage basic information such as name, contact details, address and employment status.
User access: A Mendato Operations account can be set up for each employee, allowing them to view their operations and enter time bookings.
Keys: On the employee detail page you can see which keys an employee currently holds — including object assignment and transfer history.
2. Working Time Model and Availability
Working time model: The working time model defines an employee's target working hours. These settings are important for the automatic calculation of absences and the availability of employees.
Availability indicator: The bars in the schedule show how many hours an employee is scheduled per month and per week.
"Inactive" status: If an employee is shown with status Inactive, this means they currently have no active working time model. To make the employee active again, a working time model with a valid period must be stored.
3. Qualifications and Service Assignment
Services: For each employee you can specify which services they can perform (e.g. floor cleaning, window cleaning). The system uses this information to filter employees when assigning operations.
Location and driver's license: For operations that require a journey, you can store the employee's place of residence and driver's license class. This information helps you quickly find qualified employees when needed.
4. Absence Management
Add absences: You can enter absences such as sickness and vacation directly in the employee's profile under the Absences tab.
Automatic adjustments to the schedule: Approved absences directly affect operation planning by marking affected operations as "operations without performer". → Managing absences
5. Time Tracking and Working Hours
Time tracking: The timesheet shows the employee's target, planned and actual times and is the basis for payroll accounting including supplements per the framework collective agreement. Here you can review the recorded hours and view absences.
Planned- and target-time offsetting: Depending on the working time model setting, absences can be offset against target time or against planned shifts.
6. Hour Account
In the employee list under Master Data > Employees, the Hour Account column shows the current hour balance of each employee.
🟩 Green (negative): Under-hours — the employee has worked less than the target time.
🔴 Red (positive): Overtime — the employee has worked more than the target time.
Click an employee's balance value to open the transaction overview. There you'll see all automatic target/actual differences and manual adjustments. Via "+ Add transaction" you can make manual corrections, e.g. for overtime payouts or carrying over a legacy balance.

7. Filters and Replacement Planning
Using the filters in operation planning, you can quickly find qualified employees for open operations. The filters are based on information stored in the employee profile such as working time model, service, city/postcode and driver's license data.
