Mendato Operations: Create Employee Access

For employees to use digital time tracking in Mendato Operations, they need to be assigned a user account.


1. Create the Employee in Mendato (If Not Already Created)

Where?Master Data > Employees

Employee list under Master Data → Employees with the 'New Employee' button highlighted
  1. Go to Master Data > Employees.

  2. Click "Create New Employee".

  3. Enter the employee data (name, personnel number, email, phone number, etc.).

  4. Save – the employee is now created in the system.

Tip: If the employee already exists in Mendato, you can continue directly with step 2.


2. Create Access to Mendato Operations

Where?Master Data > Employees > Add User

  1. Open the relevant employee in Master Data > Employees.

  2. Click "Add User".

  3. Select the login type (by phone), password, and access rights for Mendato Operations.

  4. Confirm with Save.

  5. The employee now needs to be informed of their login details (usually phone number + password).

Note: The employee does not receive an email or SMS, but must be given their access credentials manually.


3. Logging In & Using the Mendato Operations App

How logging in works:

  • The employee downloads the Mendato Operations app from the App Store (iOS) or Play Store (Android).

  • They log in to the app with their phone number & password.

What features does the employee have in the app?

  • Record planned operations: journey, start, break, and end

  • Complete documentation directly in the app

  • Collect signatures from customers

  • Enter unknown values for the operation effort and transfer them to Accounting, via type: Service Receipt

  • View their own time sheet

  • Submit absences directly via the app

Tip: The employee can only start operations that have been assigned to them.


Conclusion: How to Activate Mendato Operations for Employees

  • Create the employee (if not already created)

  • Create a user account with Mendato Operations access

  • Inform the employee of their login details (phone number + password)

  • The employee downloads the Mendato Operations app & logs in

  • The employee can carry out operations, document them & view their time sheet

Important: Without a user account & the Mendato Operations app, an employee cannot perform digital time tracking!
