What Is a Working Time Model?
The working time model in Mendato allows you to precisely define working hours, compensation calculations, and absence settings for each employee. It forms the basis for preparatory payroll, operation planning, and the cost calculation in Mendato Controlling.
Steps to Create a Working Time Model in Mendato
Access the Working Time Model:
Go to Master Data > Employees and select the relevant employee.
Open the Working Time Model tab in the employee profile.
Create a New Working Time Model:
Working Time Model Settings:
Enter the details of the working time model, including the start date, the number of daily working hours, the gross hourly wage, and the calculation basis for absences.
Detailed Steps for Creating the Working Time Model
Start Date:
By default, this is set to the 1st of the current month. If the employee only starts at a later date, select the actual joining date.
End Date:
An end date is only required if there is a defined contract end or if important parameters such as the Target Time, the calculation of absences, or the gross hourly wage change.
The end date allows personnel costs to be assigned accurately in Controlling, so that the period of a change is recorded correctly.
Weekdays and Working Hours:
Specify on which days the employee is supposed to work and define the number of hours for each day.
Example: Monday to Friday with 8 hours each results in a 40-hour week.
Gross Hourly Wage:
If relevant, the employee's gross hourly wage can be entered here. Changes to the hourly wage should be recorded with a new working time model and an end date for the previous model.
The gross hourly wage is the basis for the wage and surcharge calculation in Mendato Controlling.
Calculation of Compensated Time:
Choose between actual hours (working time actually recorded by the employee) and planned hours (planned working time regardless of actual attendance).
Calculation of Absences:
Absences can be calculated based on planned hours (according to working times defined in advance) or target hours (according to the specifications of the working time model).
Activate Time Account:
With the Time Account option, you can activate the automatic tracking of overtime and undertime for this employee.
The time account calculates the difference between Target Time and Actual Time and automatically posts it as a transaction.
Prerequisite: actual times must be available through time tracking, plan transfer, or import.
Important: The time account is inactive by default for existing working time models. Only activate it with a new working time model starting from the next payroll period – not in the middle of the current month.
If you want to carry over an existing hours balance (e.g. from Excel or DATEV), create a manual transaction with the carry-over value after activation.
Example of Creating a New Model in Case of Changes
If, for example, the gross hourly wage or the Target Time changes, create a new working time model with the change date as the start date and an end date for the previous model. This keeps the historical data traceable in Controlling and allows personnel costs to be determined correctly for each period.
