Export of Accounting Data

Your client uses Mendato for the digital management of orders, personnel, invoices, and accounting.

Dear Tax and Financial Accountants,

Your client uses the Mendato software for the digital management of orders, personnel, invoices, and accounting.

Mendato gives you the option of receiving all accounting data in a structured, digital format – entirely without printouts or manual post-processing.


How the Process Works

  1. Your client creates the export directly in Mendato

  2. You receive a ZIP file by email

  3. You process the data as desired – digitally, structured, or the classic way


Which Export Types Are Available?

Please let your client know which of the following exports you will need in the future:


1. DATEV Export

Structured export in EXTF format for digital import into DATEV accounting programs (e.g. DATEV Kanzlei-Rechnungswesen, DATEV Rechnungswesen, DATEV Mittelstand Faktura mit Rechnungswesen).

Format: CSV (EXTF, ISO-8859-1) + PDF receipts in a ZIP file

The ZIP file contains:

  • EXTF_Buchungsstapel_<von>_bis_<bis>.csv – postings for outgoing invoices, credit notes, reminder fees, incoming receipts, and payments

  • EXTF_WiederkehrBuchungen_<von>_bis_<bis>.csvcontinuous invoices in the DATEV format "Wiederkehrende Buchungen" (recurring postings). Outgoing invoices with a billing interval (monthly or quarterly) are not exported in the normal posting batch, but separately as a recurring posting with start/end date, time interval, and day of the month. This file is only included if continuous invoices exist in the selected period.

  • EXTF_GP_Stamm_<Zeitstempel>.csv – master data of the business partners (debtor accounts)

  • Belege.zip – all PDF receipts (incoming & outgoing invoices, credit notes) with an XML manifest for automatic receipt import

Ideal for: fully automated import including receipt images into DATEV accounting programs at the tax advisor's office

Note on DATEV Unternehmen online: The EXTF posting batch is not imported there directly. In DATEV Unternehmen online, receipts are uploaded separately via Belegtransfer or the upload email; the EXTF files are then imported into the tax advisor's Kanzlei-Rechnungswesen.

Your client needs the following information from you:

  • Client number

  • Advisor number

  • Chart of accounts (SKR03 or SKR04)


2. All Receipts (PDF)

Collected export of all incoming & outgoing receipts as well as credit notes as PDF files

  • Ideal for: manual accounting or filing

  • All documents clearly organized in a monthly folder


3. Tax Advisor Export (Monthly Collection)

Combined export of all accounting documents in one folder

  • Contains: PDF invoices, credit notes, reminders

  • Clearly organized receipt collection

  • No structured DATEV import – but complete for manual processing


4. Open Receivables (OPOS List)

A cut-off-date list of all customer receivables that are still open on a specific date (outstanding items). Unlike the other exports, your client does not select a period here but a single cut-off date – the export evaluates all invoices with an invoice date up to this cut-off date that are still fully or partially open at that point in time.

Format: CSV (semicolon-separated, ISO-8859-1) in a ZIP file (Offene-Forderungen.csv)

Included columns:

  • Invoice no., customer, customer no.

  • Invoice date, service date or service period

  • Net, VAT (per tax rate), gross

  • Cash discount (%, deadline, amount, applied)

  • Reminder fees and reminder level

  • Due date, paid up to the cut-off date, open amount

  • Days overdue, status as of the cut-off date (open / partially paid)

  • Payments up to the cut-off date

Ideal for: valuing trade receivables as of the balance sheet date (annual financial statements) as well as ongoing receivables management and dunning.


Feedback to the Client

Please let your client know which of these exports are needed.

Alternatively, you can also request tax advisor access to export the data from Mendato yourself.
