Time Tracking Without an Operation: Benefits & Guide for Manual Entry

Benefits and guide for manual time tracking without an operation in Mendato Operations.

Written by Philipp Geimer

In Mendato, manual time tracking is enabled by default.

It allows employees to record their working time via the app even without planned operations or scheduled shift times.

This flexible solution is especially helpful when workflows change spontaneously, additional work arises, or planned times are insufficient in practice.

How It Looks in the App

On the home screen you see all planned operations for the day (top) and below that the section for manual time tracking:

By clicking "Start" you can manually clock in at any time.
The "Journey" button is used to track travel time separately.

Why Keep Manual Time Tracking Active?

Benefit

Value

Flexible When Plans Change

Employees can still record their times

Document Spontaneous Extra Work

Unplanned services are still captured

Less Administrative Effort

No manual back-entry by administration

Time Tracking Without Gaps

Actual times are recorded even when operations are missing

Typical Everyday Situations

1. Operation Takes Longer Than Planned

An employee is scheduled for a special cleaning over several days.
On the last day, the planned time is not enough.
Since no further operation is set up in the system, the employee can clock in manually via the app.

  • The additional time is recorded cleanly

  • No effort for back-entry by dispatch

2. Spontaneous Additional Job On-Site

After the planned stairwell operation, the building manager asks the employee to also clean the trash room.
Since this task is not scheduled in the system, the employee uses manual time tracking in the app.

  • The effort is recorded

  • The additional service can be billed

Start Manual Time Tracking – Step by Step

  1. Open the Mendato Operations App

  2. Go to the home screen

  3. Under "Manual Time Tracking", click:

    • Journey, if you want to document the journey first

    • Start, to begin working time directly

  4. Object and order can be selected if needed or added afterwards via Personnel > Time Tracking > Edit

Who Is It Suitable For?

  • Cleaning staff with changing job sites

  • Replacements or temporary staff

  • Employees who work independently

  • Teams with flexible or irregular shift schedules

Want to Restrict It Anyway? Here's How

If you only want to allow planned operations, you can disable manual time tracking for specific users.
Go to Guide "Disable Manual Time Tracking"
