Once a customer has received the Mendato Customer Portal and registered, the actual work with the portal begins.
The most important thing is to check the tickets daily and link them to new or existing operations. Apart from that, nothing changes in how you work in Mendato.
To help you keep track of everything that needs to be done regularly, here is a brief overview:
1. Process Customer Requests & Tickets
Go to Mendato Orders > Tickets. Daily tasks:
Check new tickets – Which customer requests have come in?
Update the status – If a request is being processed or has been scheduled, adjust the status.
Link tickets to operations – As soon as an operation is planned, it can be linked to the ticket.
The customer sees the status "Planned" in the portal.Mark completed tickets as "Done" – As soon as a request has been handled, update the status.
Tip: Check tickets regularly so that no open customer requests are left unattended.
2. Plan Operations & Keep Customers Informed
Go to Mendato Orders > Operations. Daily/weekly tasks:
Review planned operations – Are all upcoming operations scheduled correctly?
Factor ticket operations into the schedule – If a ticket is being processed, make sure the corresponding operation is scheduled for it.
Customers see planned operations in the portal – If customers have questions, they can look up the scheduled appointments themselves.
Tip: Linking tickets to operations ensures that customers always know when their requests will be handled.
3. Create Invoices & Track Payments
Go to Mendato Accounting > Invoices. Regular tasks:
Create & send new invoices – Customers receive invoices directly in the portal.
Monitor the payment status – Which invoices are paid, open, or overdue?
Send reminders – If an invoice is overdue, a reminder can be sent.
Customers see invoices & payment status in the portal – No more need to send invoices manually.
Tip: Regular billing reduces queries & improves incoming payments.
4. Manage Service Receipts & Get Them Signed
Go to Mendato Orders > Operations > Service Receipts. Important tasks:
Check open service receipts – Which receipts still need to be signed by the customer?
Remind customers to sign open receipts – If necessary, the customer can be reminded in the portal.
Use signed receipts for billing – Once all receipts are signed, invoices can be created faster.
Tip: Check service receipts regularly to avoid delays in billing.
5. Manage Visibility & Customer Permissions
Go to Master Data > Customers > Customer Portal Settings. Adjust as needed:
Which data does the customer see? (e.g. operations, invoices, executors)
If a customer is not supposed to see certain information, the permissions can be adjusted.
Tip: By default, all important functions are visible. If customers should have less access, this can be configured individually.
