Step 4 of Order Creation: Shifts & Operations
In the fourth and final step of order creation in Mendato, you define how and when the planned cleaning services will be carried out. Here you can create shifts for regular intervals or create operations for individual appointments manually. This enables precise operation planning for your cleaning staff and ensures a smooth organization of workflows.
What's the Difference Between Shifts and Operations?
Shifts: recurring time windows in which certain services are to be performed regularly (e.g. weekly, monthly). An example would be the daily cleaning of an office from Monday to Friday.
Operations: individual appointments or specific time windows for a service. Operations can be one-time or planned flexibly, e.g. for a special cleaning on a specific day.
Create Shift
To create a shift, click Create shift. A window opens where you can enter the details of the shift planning.
Select order services: choose one or more order services that should be performed as part of this shift. Multiple order services in one shift are useful, for example, when office, sanitary and stairwell cleaning always take place at the same time.
Set start date and interval:
Start date: set the date when the shift should begin.
Interval: choose how often this shift repeats (e.g. daily, weekly, monthly). With custom intervals you can freely configure the rhythm, e.g. "every third Thursday of the month".
Set required performers: specify how many cleaners or subcontractors are required for the shift.
Deviating instructions: if there are special notes for this operation, you can store deviating instructions.
Generate service receipt automatically: if you need documentation via a service receipt for this operation, enable this option so that a service receipt is generated automatically.
Select Performers
After setting the shift details, you have to select the performers (cleaners or subcontractors).
Select employee or supplier.
Using filters, you can find the right performer by qualification, object knowledge, driver's license and working time model. Workload and work availability give you a quick overview of whether the employee is suitable for the shift.
Confirm the selection and set the start date for the performer.
After the performer has been selected, you return to the shift overview, where all selected performers are listed.
Create Operation Manually
If a flexible or one-time appointment is needed, you can create operations manually:
Select order services: choose the relevant order service.
Date and time: set the date and exact time for the operation. If the operation goes past midnight, enable the corresponding field.
Required performers: specify how many performers are needed for this operation.
Add instructions: add special instructions. Here you can also add links to images, documents, videos or other resources that are relevant for carrying out the operation.
Afterwards, performers still need to be added. To do so, click on the operation or move the operations in the schedule to the right performer.
Manage Shifts & Operations
In the overview you see all created shifts and operations with the corresponding intervals, times, status and performers. Here you can:
Add more shifts
Edit existing shifts and operations: use the pencil icon to adjust the details.
Delete shifts and operations if they are no longer needed.
With a click on Done, order creation is complete.
The schedule is now available and all planned operations are linked to the respective cleaning staff. Employees can see their operations via Mendato Operations, run time tracking and fill out service receipts.
This data flows back into Mendato, where it is reviewed, billed and documented.
