Step 2: Add services to your order in Mendato — step by step.

Introduction

In the second step of order creation in Mendato, you add services that should be performed as part of the order. It's important to understand the difference between a service and an order service:

  • Services: this is a general task or service defined in Mendato, e.g. "Window cleaning" or "Floor cleaning". Services can be used by the whole team as a template.

  • Order services: as soon as a service is assigned to a specific order, it becomes an order service. An order service is the specific task that is performed within the order by certain employees or subcontractors.

Order services are the basis for billing, shift planning and operation organization. They define which work is included in the order and how it will be billed.


Step-by-Step Guide to Adding Order Services

After you have set the basic order details such as customer, object and start date, you are automatically taken to the Services section. Here you now add the specific work that should be carried out in this order.

  1. Click "Add"

    • Click the "Add" button to add a new service to this order. This opens a window where you can enter the details of the order service.

  2. Enter service details

    • Select a service or create a new one
      Select an already defined service from the list, or create a new service if the desired service is not yet available in Mendato. This way you can react flexibly to the specific requirements of the order.

    • Set title
      Give the order service a title that appears on the invoice and ensures clear communication.

    • Option "Execution on demand"
      Enable this option if the order service should only be carried out on demand. This is ideal for services that are only provided at the customer's explicit request, e.g. "Special cleaning on demand".

2. Create order service

  • Click "Create" to add the order service. The order service then appears in the list of services for this order.

Adding multiple order services

  1. Repeat the steps to add several services, if the order covers multiple tasks.

  2. Each service is shown in the list and can be edited or removed as needed.

Repeat this step until all order services that will be carried out at the object are complete.


Examples of Order Services

An order can include multiple order services to cover all required work at the object. If, for example, you create an order for cleaning a hotel, the order services could look like this:

  • Room cleaning, checkout (daily)

  • Room cleaning, stayover (daily)

  • Cleaning of public areas (weekly)

  • Window cleaning (monthly)


Further Steps in Order Creation

After the order services, two more steps follow to complete the order setup:

Step 3: Define Billing Items

After you have added all the desired services, click "Next" to get to Billing. Here the billing terms for each order service are defined, including prices, units and tax information.

Step 4: Plan Shifts & Operations

In the last step you can set the operation planning for the order. You have the option of creating regular shifts or creating individual operations manually. These shifts and operations determine when and by whom the services are performed at the object. Here you can schedule employees or subcontractors for carrying out the tasks.
